Make Scheduled Patron Updates Work for You in Destiny Library Manager and Destiny Resource Manager

Scheduled Patron Update can make recurring patron maintenance easier, but only if its setup still matches your district’s current needs.
In my experience, this is where small, preventable problems surface. The job is in place, it runs on schedule, and everyone assumes it is fine – until the year begins, something looks off, and the questions start.
After managing scheduled updates as a district coordinator, I learned that automation saves time only when someone takes a fresh look at the settings that carry over from one year to the next.
What to Review
If I were doing a beginning-of-year check, I would focus on five things:
- The source file and where the job is pulling from
- The schedule and timing
- Whether the update should be Full or Incremental
- Who reviews the Job Summary after it runs
- Whether inactivation or deletion settings need a second look
To review those settings, have a district user open District Back Office and go to Admin > Update Patrons > Schedule. From there, open the scheduled job your district uses so you can review the current setup.
Schedule a Patron Update Overview is a useful Help Article refresher if you want to walk through the file location, source type, scheduling details, and update settings that are easy to leave untouched from year to year.
Revisit Full versus Incremental
This is one of the biggest settings to confirm.
A Full update uploads all records in the file that match the configuration. An Incremental update uploads only records that are new or changed since the last update.
If you are not sure which one your district uses, go to Admin > Update Patrons > Schedule, open the scheduled job, and look at the Job Schedule section. That is where Destiny shows whether the update is set to run as Full or Incremental.
If your district is relying on the wrong type for the moment you are in, it can affect what gets updated and when. It is worth confirming rather than assuming.
Do Not Skip the Job Summary
A completed job still warrants a review of its Job Summary. After the job runs, go to Admin > Update Patrons > Schedule, open the Job Summary for that run, and look for warnings, exceptions, skipped records, or anything else you did not expect to see.
Those are much easier to address right away than after schools have already started calling. Scheduled Patron Update Overview is a useful Help Article refresher because it points users back to the Job Summary and related troubleshooting steps.
For schools and districts using Follett Destiny® Resource Manager, also review whether the job affected resource-site associations, Access Levels, Resource Groups, or patrons with active resource checkouts.
Check Inactivation and Deletion Settings Carefully
This is easy to overlook at the beginning of the year. If your scheduled update includes inactivation or deletion settings, go to Admin > Update Patrons > Schedule, open the scheduled job, and review that section carefully.
Beginning-of-year changes can affect whether those actions should run and when. The Back to School Help Article also links to guidance on inactivating patrons not updated by a current full file upload, if your district needs that refresher.
Put the Review into Practice
Once you are in the schedule screen, make this quick pass:
- Confirm the correct file and source location.
- Verify the schedule and timing.
- Check whether Full or Incremental still makes sense.
- Review inactivation and deletion settings.
- Confirm who reviews the Job Summary.
- Make sure the district knows what to do when warnings or exceptions appear.
That review is usually much faster than cleaning up confusion later.
Your Beginning-of-Year Takeaway
If your district uses Scheduled Patron Update, do not just confirm that it exists. Confirm that it is still set up to support the year ahead.
- Review the current job setup.
- Verify the source file and schedule.
- Confirm the update type.
- Check inactivation and deletion options.
- Make sure the right person is reviewing results.
