“Overall, this system has helped us a ton and is far and above better than the PDF/Email
chain system we were working with before.”
– Darci Williams, Granite School District
Too much manual work made the old process hard to manage
Before adopting Facilities Schedules, Granite School District managed facility requests through email, phone calls, and paper or PDF rental forms. That process felt cumbersome, made it difficult to track where requests stood, and created challenges around making sure invoices were paid on time.
Adoption took effort, but the benefits were worth it
Getting everyone on board took some adjustment, especially for longtime renters and administrators who were accustomed to the old process. While there were a few challenges early on, most users have since adapted well, and the district has seen clear value in making the change.
Better visibility helped keep everyone informed
One of the biggest advantages for the team is improved communication.
“One of the things we utilize the most is the custom reports option, I have a weekly report that gets sent to our maintenance department and our district police force so we can keep track of rentals and ensure everyone is using our spaces as they are supposed to. Rather than having to create this list myself weekly, that custom report runs and auto sends to the group I need it to send to, which is awesome for when I am out of office, and saves me time from having to create the report on my own.”
The turning point was more consistent payments
For Darci’s team, one of the clearest signs the system was working came when payments started arriving on time more consistently. Another strong signal was when renters began proactively reaching out after discovering they could not submit requests because their insurance had expired. Those moments showed the district that the process was doing what it was supposed to do.
Support helped the district work through the occasional snag
They have consistently had positive experiences with the support team when the occasional hiccups arise. She shared that support has been helpful in working through small snags, which make it easier to keep moving forward and get the most from the system.
A final takeaway
“Facilities Schedules does a lot for us and makes our lives a lot less stressful day to day.”
– Darci Williams, Granite School District
